Privacy notice

This privacy notice explains how the Centre for Systemic Social Work collects and uses your personal information when you enrol on one of our courses.

Purpose for processing personal information

We collect information on students enrolling on our systemic social work courses.

We collect information to:

  • tracked and mark your assignments
  • collate course results
  • share results with your employing organisations.

We also use student information to evaluate the effectiveness of our training courses.

Personal information we collect

To manage and track your assignments, we collect: 

  • job title
  • department
  • email address
  • manager’s name and email address

To support course evaluation, we ask you to:

  • complete an evaluation form on each training day
  • complete three questionnaires at the start, middle and end of your course

From time to time, we may ask for permission to video record a training session. We use recordings for quality monitoring and course accreditation purposes.

Use of personal information

We only use your personal information for specified purposes.

If we plan to use your data for any new purposes, we will normally ask you first. All processing will always have a clear lawful basis.

Where practicable and reasonable we will tell you about any significant proposed changes to how we process or intend to process your personal data. This helps to ensure transparency.

Where we collect your information

We collect your information from:

  • completed course nomination forms
  • evaluation forms and questionnaires completed during your training

Information sharing

We share your contact details with:

  • our trainers
  • logistics staff

Your information is also recorded on our assignment tracking software system Turnitin UK.

Associate trainers and external markers will also have access to Turnitin in order to perform their duties.

Data retention

We only keep your information for as long as needed by law to deliver the necessary services in line with our retention policy.

In general:

  • students data is kept until a course finishes and all results are published
  • course and student data are deleted from our systems within a year of the last session of each course

The following details are retained for longer:

  • names
  • employing organisation
  • course results

We archive this data so we can refer to them if there are any queries about a student’s results.

Our retention periods are informed by statutory guidance, including CIPD guidance on record keeping.

Data protection rights

You have the right to request a copy of the information that we hold about you.

Under the Data Protection Act 2018, you also have rights that refer to how the council holds and uses your information.

Under certain circumstances, by law you have the right to: 

  • withdraw consent and the right to object and restrict further processing of your data; however, this may affect service delivery to you
  • request to have your data deleted where there is no compelling reason for its continued processing and provided that there are no legitimate grounds for retaining it
  • request your data to be rectified if it is inaccurate or incomplete
  • have your data transferred or copied should you move to another authority
  • not be subject to automated decision-making including profiling

If you are unhappy with our response you have a right to complain to the Information Commissioner’s Office (ICO).

Changes in personal details

You must notify us immediately if there are changes in your circumstances and personal details. This helps us keep your information accurate and up to date.
